STUDIO POLICIES, TERMS AND CONDITIONS FOR 2026

GENERAL:
REGISTRATION:
- All new students must complete the registration form and pay a once-off non-refundable and non-transferable registration fee of R360.00, within 7 days of the enrolment fee Invoice.
- A place in class is only secured once an enrolment fee has been paid in full. Enrolment fees not paid within 7 days of invoice will have their enrolment cancelled.
- All returning students must re-register annually via the email link and pay a re-registration deposit equivalent to 1 month’s fees. This deposit is non-refundable and will be used for the 1st month's fee.
FEES:
- Dance Motion reserves the right to increase dance fees annually.
- Class fees are worked out per year and divided into monthly / quarterly instalments.
(Studio holidays, public holidays, and all classes missed due to our studio participating in examinations, competitions and shows, taken into consideration).
- 50% monthly discount will only apply if a new student joins after the 15th of that month (Excluding January)
- Fees are due in advance by the 1st of the month, or the 1st lesson of the term:
- 1 x Annual Payment (5% discount on class fees only) if paid by 31st January.
- 4x Quarterly Payments (1x per term)
- 11x Monthly Payments (Jan-Nov) – Only applicable to studio students registered before 2025.
- 10x Monthly Payments (Feb-Nov)
- All Class Fees to be paid by debit order as per completed mandate to be updated annually.
- All Adhoc Fees to be paid by EFT.
- A R100-00 admin fee will be charged on all failed/late payments..
- If payment is not received, your child will not be allowed to participate in class, or other studio activities.
- Supplementary classes as well as private lessons scheduled for Examinations, Eisteddfod or competitions will be charged at an additional cost. These can be paid via EFT by the due date.
- Absenteeism does not constitute a reduction in fees.
- You acknowledge that as the parent/guardian listed on the registration you will held liable for the account payments.
- Please note that if payment is not made within 90 days, the account will be handed over to our attorneys for collections. You will be held liable to pay any collection and/or attorney fees on the Attorney Own Client scale.
CANCELLATION OF CONTRACT:
- If you wish to terminate this agreement, you shall be required to give at least 1 (one) month’s written notice before the 7th of the month (Excluding November). Such notice must be acknowledged by Dance Motion to be valid. You will still be liable for the monthly fee in which the written notice is received. Your child will still be allowed to dance during the notice month.
- You will be liable for an additional month’s fee if the correct notice is not given.
- Monthly fees are still payable notwithstanding the fact that the pupil does not attend for any period of time.
- We shall, for any reason whatsoever, be entitled to terminate this agreement on 7 (seven) days written notice, delivered by email to the email address indicated on the enrolment form. You will be pro rata reimbursed for the remainder period of the month or term.
COMMUNICATION:
- Communication is made through the following formats: email and/or WhatsApp.
- It is the account holder’s responsibility to ensure all contact information is correct and up to date. You are obliged to advise us should any contact information change.
TERMS AND TIME OFF:
- Studio terms are as follows:
Term 1: 19 Jan – 27 March,
Term 2: 8 April – 26 June,
Term 3: 18 July – 23 Sept,
Term 4: 6 Oct – 28 Nov
Term 2: 8 April – 26 June,
Term 3: 18 July – 23 Sept,
Term 4: 6 Oct – 28 Nov
- Dance lessons run strictly as indicated above. There are no lessons during studio holidays unless otherwise advised as extra lessons.
- Should the dancer’s school holidays differ significantly, as in the case of 3 term schools, Dance Motion has no responsibility and will not make up classes or reduce fees due to students being away.
- There will be no lessons on public holidays and special school holidays, as determined by the government. There will be no classes over Easter weekend.
- Dance Motion reserves the right to close the studio at times when other activities like the eisteddfod, examinations, courses or performances require teachers to be present. Such activities are an integral part of training, and these classes will not be replaced whether a student is taking part or not.
- Dance Motion reserves the right to take reasonable sick leave without replacing lost classes.
- Dance Motion reserves the right to close the studio for a period of rest after examinations, assessments, eisteddfods, competitions and performances.
- Should a lesson be cancelled for any other reason, you will be notified, and the lesson will be rescheduled.
- Should Dance Motion not be able to conduct a lesson at a school, at which we are service providers, due to a school/ class event, the lesson shall not be made up unless we have been notified of said event at least 48 hours prior to our regular class time.
STUDIO ACTIVITIES:
- To participate in the studio activities ie. Examinations, assessments, concerts, eisteddfods, competitions, all fees need to be paid up in full.
- We hold the final say as to the suitability of a student to be entered for examinations, assessments, eisteddfods and competitions. We may, also, withdraw or hold back from any such specified events, any student, which in our opinion, appears to be inadequately prepared due to poor attendance and/or performance. No refunds can be made after such a decision.
- We may host a year end presentation event / concert, we shall arrange a videographer, photographer, etc. at our discretion.
- For these events, you are responsible for any associated entry fees, uniforms / costumes, you will be notified and invoiced accordingly. Extra lessons may be necessary and are compulsory to attend should we notify you they are needed; these may carry a cost.
- Costs associated with ordering DVD’s, photographs, tickets and costumes, should they be necessary are your responsibility. You will be notified and invoiced accordingly.
- By allowing your child to take part in the above mentioned activities, you accept and consent that there may be photography / videography arranged by ourselves or the organisers of the event which may include your child.
INDEMNITY:
- While Dance Motion takes every precaution to ensure the safety of students, no responsibility can be accepted for any injury or loss that might occur to such students, sustained from any causes whatsoever.
- The client and his/her dependents, administrators or assigns, hereby indemnify and hold blameless, Dance Motion, its members and employees from any claims of whatsoever nature and from any liability for delay, loss, damage, injury or illness from any cause whatsoever out of events related to or occurring during a class, performance or any other activities on or off premises.
ATTENDANCE:
- A 90% attendance is required to be entered for exams, assessments, eisteddfods and competitions.
- Please be prompt in dropping off and picking up your child.
- For safety reasons, all students must be escorted into the studio before the lessons and must wait inside the studio to be picked up after the lesson.
- If a student is going to be absent, please inform the teacher beforehand.
GENERAL:
- Each student will be required to wear the correct clean dance uniform with hair tied up in a neat bun.
- Any choreography learned by a student is the sole property of the studio and may not be used or copied in any activity outside of the studio’s scope. Written permission must be obtained from the studio for any student wanting to use studio choreography at any venue without the studio.
- You are obliged to advise the teacher should any medical circumstances arise while your child is a pupil of the studio.
- Right of admission to classes is reserved, parents will be invited to attend open days.
- We reserve the right to stop dancing lessons, should your child’s behaviour affect the lessons negatively.
- Please make sure younger children visit the restroom before the start of each lesson.
- No students or siblings will be allowed to run around the studio or its grounds. Parent / Adult supervision should be kept at all times when a student is not attending his/her lesson. We cannot supervise unattended students while busy teaching a class. They will be allowed to wait inside the studio before/after class, provided they sit quietly and behave themselves.
- Dance Motion does not tolerate bullying or engage in negative conversation regarding any of our students, parents or other dance instructors or studios.
- All imagery, including, but not limited to, photographs, and video recordings of a student remains the property of the studio and may be used at the studio’s discretion for advertising / promotional purposes. This will of course all be done in good taste. If you have any objection regarding this matter please inform me in writing.
